Privacy Policy

This policy explains what Voxtakr collects, how we use it, and the choices you have. Voxtakr turns your spoken or typed IT notes into structured documentation. We aim to collect only what the product needs to work.

Information we collect

• Account information. The email address you sign in with, and, if you choose to add them, your first name and company name.
• Content you create. The notes you type or dictate, and the structured documents Voxtakr generates from them, including titles, fields, tags, and summaries.
• Voice input. When you use voice capture, your audio is sent to our transcription provider to convert speech to text. The audio is transcribed and then discarded in that request. Voxtakr does not store your raw audio recordings: only the resulting text is saved, as part of the note you are writing.
• Billing information. Payments are handled entirely by Stripe. Your card number never reaches Voxtakr servers. We store a Stripe customer identifier and your current subscription status so we can give you access and manage your plan.
• Usage analytics. Aggregate traffic and usage data through Google Analytics, such as page views and general device and browser information, plus product analytics through PostHog covering which features and funnel steps get used. Neither receives your document content.

How we use your information

• To run the service: structuring your notes, then storing and searching your documents.
• To generate documentation: your note and document text is sent to our AI provider (Anthropic) to produce the structured result you asked for.
• To manage billing, trials, and subscriptions through Stripe.
• To send transactional email, such as a welcome message and account or billing notices.
• To understand product usage in aggregate so we can improve Voxtakr.

We do not sell your personal information, and we do not use your document content for advertising.

Service providers (subprocessors)

Voxtakr relies on a small set of vendors to operate. Each receives only the data it needs:

• Supabase hosts the database and handles authentication. Your account and document data live here, encrypted at rest, reached over TLS.
• Stripe processes payments and stores card details. Card data never touches Voxtakr servers.
• Anthropic provides the AI that structures your notes. Your note and document text is sent to it for processing.
• Deepgram transcribes voice input to text. Audio is transcribed and discarded, not stored.
• Resend delivers our transactional email.
• Vercel hosts and serves the application.
• Google Analytics provides aggregate website usage analytics.
• PostHog provides product analytics: which features and funnel steps get used. It receives product events, page URLs, and a pseudonymous account identifier. Never your document content, and never your email.

Data retention and deletion

We keep your documents and account information for as long as your account is active. Voxtakr does not yet offer self-serve account deletion. To delete your account and its associated data, email hello@voxtakr.com and we will process the request. You can export your data at any time before you do (see below).

Your rights

• Access. View your documents in the app at any time.
• Export. Download any single document as Markdown or PDF, or export your entire account as a zip of Markdown files with a manifest.
• Correction. Edit your documents and profile details directly in the app.
• Deletion. Delete individual documents in the app, or request full account deletion by email.

Cookies and analytics

Voxtakr uses essential cookies to keep you signed in. We also use Google Analytics, which sets its own cookies to measure aggregate usage. We do not use advertising cookies or cross-site tracking for marketing.

Data security

Your data is encrypted in transit with TLS and encrypted at rest. Each account is isolated at the database level using Postgres row-level security, so one account cannot read another account's documents. For more detail, see our security page.

Changes to this policy

We may update this policy as the product changes. When we make a material change, we will update the effective date at the top of this page. Continued use of Voxtakr after a change means you accept the updated policy.
